General Definition and Conditions of Work
Under the general supervision of the Facilities Project Director, this position performs a variety of complex and responsible administrative duties requiring thorough knowledge of organizational procedures and precedents. The role provides clerical assistance to the Director and other staff members and performs other department-related work as required. Must be able to work independently, exercising good judgment and initiative.
Essential Functions / Typical Tasks
- Acquire field data from meter readers for water customers; analyze data for accuracy; prepare service orders to confirm accuracy and replace non-functioning meters; maintain meter change-out records.
- Maintain the department’s work order system, which serves as the database for all completed Public Works projects.
- Perform clerical duties, including answering phones, responding to citizen inquiries, receiving complaints, and directing them to appropriate personnel.
- Perform other assigned duties as required.
Knowledge, Skills, and Abilities
- Thorough knowledge of Public Works operations and related safety precautions.
- Ability to maintain records and prepare reports accurately.
- Proficiency in using and training others on specialized tools and equipment related to assigned tasks.
- Strong ability to work independently and exercise sound judgment.
- Excellent oral and written communication skills.
- Proficiency in Microsoft Office (Word and Excel) and ability to learn other systems such as fuel monitoring and meter reading software.
- Ability to establish and maintain effective working relationships with associates and the public.
Education and Experience
- High school diploma or equivalent required; college coursework in Business preferred.
- Experience with standard office equipment, basic accounting, and records management.
Required Knowledge and Skills
- Microsoft Office (Word and Excel).
- Beacon and Edmunds programs.
- Ability to understand and follow oral and written instructions.
- Strong interpersonal and communication skills.
- Ability to work collaboratively with others.
Part-time: 15 to 20 hours per week
Status: Non-Exempt
Pay: 16.00 – 18.00 per hour
